Creating an Email Signature in Outlook: Quick Reference Guide

1. Open Outlook Signature Settings

Determine Your Version of Outlook and Navigate to Settings
    1. Web Interface:
      1. Click the gear icon in the upper right-hand corner of the screen next to your user medallion.
      2. Inside of the Settings Menu go to Account, then Signatures.
      3. Select  + New signature, then give it a distinct name (example: My Omnus Signature).

    2. "New" Outlook for Windows:
      1. On the View tab, click the gear icon (View Settings).
      2. Inside of the Settings Menu go to Account, then Signatures.
      3. Select  + New signature, then give it a distinct name (example: My Omnus Signature).

    3. Classic/Legacy Outlook for Windows:
      1. Select File > Options > Mail > Signatures
      2. Under Select signature to edit, choose New, and in the New Signature dialog box, type a name for the signature (example: My Omnus Signature).

    4. Outlook for MacOS:
      1. In the top left corner, select the "Outlook" menu > Settings, the click on Signatures.
      2. Click the + icon.

2. Enter Your Details In the Edit Signature Box

    Information to include:
    1. Full Name
    2. Job Title & Company
    3. Contact Information (Email, Phone, Website, etc.)
    4. Company Logo (you can find various logo options in the Omnus Central Documents Hub)
    5. Make sure to include the Omnus Confidentiality Clause below:
PRIVILEGED AND CONFIDENTIAL. This email and any files transmitted with it are privileged and confidential and intended solely for the use of the named recipient(s). Any unauthorized review, use, disclosure, or distribution of this email is strictly prohibited. If you have received this email in error, please notify the sender immediately and delete this email and any attachments from your system.

3. Format Your Signature

  1. Use a professional font (Arial, Calibri, Verdana, Times New Roman, Aptos).
  2. Keep font size between 10-12pt for readability.
  3. Align text neatly for a clean look.
  4. To insert an image (e.g., logo): Click the image icon and upload the file.
  5. To add social media links: Highlight the text or image, Click the hyperlink icon, Enter the URL

4. Set Signature Defaults

  1. Choose your signature for New Messages and Replies/Forwards (if applicable).
  2. Click OK to save your settings.
